Refund & Cancellation Policy
Last updated: 25 October 2026
This policy explains how plans of PrakharOne (clinic.prakharveda.com) are paid for, how you can cancel, and when money is refunded. It is part of our Terms of Service; if anything here differs from the Terms, the Terms apply.
Free trial
A new clinic gets every feature free for 30 days. No card or payment is needed to start. The free trial is given once per e-mail address.
Plans and payment
After the trial, a clinic chooses a yearly plan:
- Basic – ₹1,100 a year + 18% GST (2 team logins)
- Standard – ₹2,100 a year + 18% GST (4 team logins)
- Premium – ₹5,100 a year + 18% GST (10 team logins)
- Hospital – ₹8,100 a year + 18% GST (20 team logins)
You pay in advance for one year, online through our payment gateway (UPI, debit or credit card, net banking) or by bank transfer / UPI to Appsites Infotech. A GST tax invoice is issued for every payment.
Same price for 5 years: after your first payment, your plan is renewed at the same yearly price for 5 years (the first year and 4 renewals), as long as you renew before the account is closed. Moving to a bigger plan is charged at that day's price, less what you paid for the days left on your current plan; the bigger plan then keeps that price for the rest of the 5 years. GST is charged at the rate in force on the date of each invoice.
No automatic renewal
We never charge you automatically. A plan is renewed only when you pay for the next year yourself. We send reminder e-mails 15 days and 3 days before your plan ends.
Cancellation
- Stop using it: you can stop at any time simply by not renewing. Your plan keeps working until its last paid day.
- Close your account: the clinic owner can close the clinic at any time from Settings → Data & closing (confirmed with a code sent by e-mail). Before or after closing, you can download all your data as a file. The data is kept for 90 days after closing, during which you can download it or re-open the clinic; after that it is deleted.
- Plan not renewed: the day after the last paid day, the clinic is paused – the owner can still pay or download the data. If no payment is made within 90 days, the account is closed and its data deleted. We send reminder e-mails before that.
Refunds
Fees once paid are non-refundable (clause 6.4 of the Terms). This includes closing the clinic or stopping use before the plan ends and moving to a smaller plan. Please use the 30-day free trial to make sure PrakharOne suits your clinic before you pay.
Moving to a bigger plan in the middle of the year costs only the difference in price for the days left; the plan end date stays the same.
Free months from our offers (the Founding offer for the first 100 clinics, and 2 months for referring a clinic that then pays) only extend your plan. They have no cash value and are not refunded or transferred.
Payments made by mistake
Some payments are not fees for a plan, and we return them in full:
- you were charged twice for the same plan or period;
- money was taken from your account but no plan was activated, and we cannot activate it.
Write to sales@appsites.in within 30 days of the payment with your clinic name and the transaction ID. After we check the payment, we start the refund within 7 working days, to the same card, bank account or UPI ID it was paid from. Your bank may take another 5 to 7 working days to show it.
If a payment failed but money left your account, the bank or payment gateway usually returns it by itself within 5 to 7 working days. If it does not, write to us and we will help.
